MS Access Switchboard Applicator Program Attendance Recertification

MS Access

To close the Applicator, Program, or Attendance forms click on the button at the bottom of the form.

To delete an applicator or program click on the at bottom right corner of the information section of the Applicator and Program forms.

1997-2003
On the top of the Applicator and Program forms for the MS Access 1997-2003 database there are & buttons. Place the cursor in the field you wish to search (e.g. 'name') than click on the find buttons. Type in the name you are searching for (e.g. 'Smith') in the pop-up find box. Spelling is important. You can also use the arrow buttons to browse for an applicator or a program.

To add an applicator or program click on the button on the bottom navigation bar. A blank window of the form will appear. Enter all necessary information.

Sort the applicators or programs of a form by placing the cursor in a field (such as 'Name') and click on Records, select sort and then choose the type of sort. Or on the toolbar look for the and click on those.

2007
On the bottom of the Applicator and Program forms for the MS Access 2007 database there is a search field . Place the cursor in the field you wish to search (e.g. 'name') than type in the name you are searching for (e.g. 'Smith') in the search field. Spelling is important. You can also use the navigation bar at the bottom of the form to browse for an applicator or a program.

Sort the applicators or programs of a form by placing the cursor in a field (such as 'Name') and in the Home toolbar click the buttons in the Sort & Filter section:

To add an applicator or program click on the button on the bottom navigation bar. A blank window of the form will appear. Enter all necessary information.

Switchboard

The switchboard lets you switch between the forms and reports of the database.
  • Click on the PERKS and PAT links on the switchboard to go to those websites.

  • Click on the form and report buttons to view those forms and reports.
The Information and Credits and the Information buttons open the Applicator and Program information forms, respectively.

Applicator - Information and Credits Form

The Applicator-Information and Credit form lets you enter the contact information and applicator ID number of an applicator. You can also VIEW but not edit the programs that were attended by a specific applicator.

You can print mailing labels (Avery 8160 labels) for specific applicators by using the Mailing labels section on the bottom of the form.

  • To skip a label type the number of labels to be skipped in the Label skip box. Then click on the forward arrow button.

  • To preview and print labels for select applicators browse through the contacts and click on the Print Y/N box of those applicator you want to print a label for. Click on the forward arrow button before clicking on the Preview button. Then select print on the main toolbar of the Access program

Program - Information Form

The Program-Information form lets you enter program information to the database.

Remember before adding a program to a database it must be submitted by filling out a credit request form and then approved for certification. Once approved it will be assigned a number and a verification email will be sent to the program coordinator.

Program - Attendance Form

The Program-Attendance form allows the selection of an applicator attending a program. Click on the Attendance button, a pop-up will ask for the number of the program.

The form with that program's information will open. Program information can not be edited on this form.

Select each applicator attending a program in the Select Applicators Attending Above Program section. Applicator information can not be edited on this form.

Once all applicators attending have been selected. Click on the Attendance Report button. Then click on the Save Report button and choose the .txt extension. Send this file as an email attachment to the Pesticide Education & Safety Program with the ID number of the program as the subject.

Recertification Cycle Update

1. Save a copy of the database for your records. Name it after the recently finished recertification cycle and the county and region Ex) 03-07SweetgrassRegion5.mbd.

2. Go through the MDA applicator recertification list. Cross reference with PERKS.

3. Update the licensing year for those applicators that met the recertification requirements. Delete the year from those who did not meet the requirements.

4. Update recertification cycle. Ex) If you need to change the cycle for Region 5 go to the region field and select 5 then type in 2008-2012 in the Recertification Cycle field.

5 & 6. Delete past recertification cycle credits and programs by region.
